What to do if…
you are asked to show proof of travel insurance cover and you cannot find your policy documents
Short answer
Ask what exact “proof” they will accept, then contact your insurer (or the bank/travel company you bought the insurance through) and request an emailed certificate/schedule or confirmation of cover you can show immediately.
Do not do these things
- Don’t guess or invent policy numbers, dates, or cover levels.
- Don’t hand over your phone unlocked or share full account passwords to “prove” anything.
- Don’t buy a second policy in a rush before you’ve checked whether you already have cover (duplicate cover can complicate matters later).
- Don’t assume a GHIC/EHIC is the same as travel insurance; some destinations/providers ask for separate travel insurance proof.
- Don’t click unfamiliar links or install apps pushed by strangers to “verify” your insurance.
What to do now
-
Get the requirement in plain terms: “What document do you need—certificate/schedule, confirmation of cover, policy number, or a letter—and is a PDF/screenshot acceptable?”
-
Do a quick search for the original documents (a few minutes):
- Email inbox: search the insurer/brand name plus policy, certificate, schedule, confirmation, documents.
- If bought via a comparison site/agent: search that brand name plus insurance.
- Downloads/photos/cloud storage: search for insurance or certificate and look for PDFs.
-
Work backwards from where you bought it (this is often faster than guessing):
- Check your banking app for the payment to the insurer/broker or travel provider.
- If it’s packaged bank account travel insurance, look in your banking app/online banking for “travel insurance” support pages or “proof/confirmation of cover”.
-
Contact the right provider and ask for a “showable” document now:
- Use the insurer’s customer service / policy servicing / documents contact (phone or live chat). If you reach an emergency assistance line by mistake, ask to be transferred to the team that can reissue documents.
- Say: “I’m being asked to show proof of cover now. Please email me my certificate/schedule or a confirmation of cover while I’m on the line.”
-
If you’re at a desk/check-in counter, use a direct-send option (safely):
- Ask for an official desk/check-in email address (not a personal email) so your insurer can send proof directly.
- Confirm the address matches the organisation you’re dealing with before sending documents (to avoid sharing personal data with the wrong recipient).
-
If you can’t retrieve it quickly, ask for a short pause and get a record:
- Ask if they can hold your place briefly while you obtain the certificate from the insurer.
- If you’re refused travel/service, ask for the reason in writing (even a brief note/email) so you have a clear record of what was requested.
-
Keep your access secure while you scramble:
- Keep your phone charged and on stable Wi-Fi if possible.
- Only log in on your own device. Avoid typing passwords on public computers.
What can wait
- You don’t need to read the full policy wording right now.
- You don’t need to decide whether your cover is “the best” or compare alternatives.
- You don’t need to start a claim—this is only about producing proof of cover.
- You don’t need to cancel your trip while you’re still trying to retrieve the certificate/schedule.
Important reassurance
This is common and usually fixable. Most insurers (and many packaged bank account providers) can resend your documents or issue a confirmation of cover once they locate your policy.
Scope note
These are first steps to get acceptable proof in front of whoever is asking. If you’re being refused travel or entry, the next steps usually involve the carrier/provider’s written policy and (if needed) a formal complaint process later.
Important note
This is general, practical information, not legal or insurance advice. Requirements for “proof” vary by airline, cruise line, tour operator, visa process, and country. If you’re unsure, ask the person requesting proof to specify exactly what they will accept and in what format.
