What to do if…
your passport appears as cancelled or invalid in a database even though you have it

Short answer

Treat this as a record-status problem: get the exact wording of what the airline/border system shows, then contact HM Passport Office to confirm your passport record and tell you the fastest valid next step.

Do not do these things

  • Do not report your passport lost or stolen “to reset things” — that can trigger cancellation and make travel harder.
  • Do not keep re-trying check-in hoping it will change — you need the exact system result and escalation.
  • Do not book non-refundable replacement travel or destroy the passport in panic.
  • Do not rely on third-party “passport check” sites/apps as proof (airlines/borders must follow official systems).

What to do now

  1. Get the exact problem wording (and keep a clean note of it).
Ask the airline/border staff: “Is it showing cancelled, reported lost/stolen, withdrawn, or a details mismatch?” Note the time, location, flight, and the staff member’s name/ID if possible.
If they’ll provide it, ask for a written note/printout. Only take a photo if staff explicitly say it’s allowed.

  2. Rule out simple mismatches immediately (this fixes more cases than you’d think).
    Ask them to re-check:

    • passport number (letters like O/0), name spelling, date of birth, nationality
    • whether they scanned/read the passport MRZ correctly
    • whether your booking name matches the passport exactly (including middle names)
  3. Contact HM Passport Office right away and say it may be cancelled/invalid in error.
Use the Passport Adviceline by phone, or the online enquiry form (webchat may be busy/unavailable at times). Tell them:

    • you physically have the passport
    • who is refusing it (airline/border)
    • the exact wording shown
    • your travel timing (especially if within days)
  4. If you’re abroad and travel is urgent, be ready for the “Emergency Travel Document” decision.
A UK Emergency Travel Document (ETD) is generally for urgent, unplanned travel in exceptional circumstances when you cannot use a valid UK passport. HM Passport Office/consular staff will tell you if you’re eligible and whether it’s the right route for your situation.
In parallel, gather what you’d need quickly: proof of identity/nationality, travel details, contact number, and a compliant digital photo.

  5. If an airline is refusing boarding, ask for supervisor escalation through their document-check support.
Say: “Please escalate this through your travel-document validation process and tell me the exact result you’re getting.” You’re trying to trigger a proper re-check, not argue at the counter.

  6. If you are at border control, stay calm and ask what happens next.
Ask what they need from HM Passport Office to resolve it, and whether you can contact HMPO while you wait. Keep your phone charged and keep notes of every instruction.

  7. If you suspect a false/malicious lost/stolen report, say that clearly to HMPO.
Tell HM Passport Office you believe a report may have been made in error or maliciously and you need the passport record corrected.

What can wait

  • You do not need to decide right now whether to complain, seek compensation, or change all future travel plans.
  • You do not need to apply for a full new passport immediately unless HMPO tells you the record cannot be corrected in time.
  • You do not need to post about it publicly or share passport images online to “get help”.

Important reassurance

This can happen due to administrative error, a mistaken lost/stolen report, or a database mismatch — it does not automatically mean you’ve done something wrong. Your job in the moment is to slow things down, capture the exact error, and get HM Passport Office to confirm your passport’s true status.

Scope note

These are first steps to stabilise the situation and unblock urgent travel. Once you’re safe and not under time pressure, you can consider complaints, refunds, and longer-term documentation changes.

Important note

This is general information, not legal advice. Processes can vary by destination, airline, and your circumstances. If you’re stuck airside/abroad with nowhere safe to go, prioritise getting to a safer, calmer place and contacting official support.
