What to do if…
your passport is with an embassy or consulate for processing and urgent travel comes up
Short answer
Confirm exactly who currently holds your passport, then ask that office for an urgent passport return (often this means withdrawing or pausing the application). In parallel, set up a backup plan in case they cannot release it in time.
Do not do these things
- Do not book non-refundable travel assuming the passport will be released “any day now”.
- Do not cancel or withdraw the application until you’ve checked what that means for fees and your place in the process.
- Do not send your other ID documents away “to speed things up” unless the holding office specifically instructs you to.
- Do not try to travel on scans/photos of your passport or an expired passport unless your carrier has explicitly confirmed it will accept that (most won’t).
- Do not let a courier or third party collect your passport unless the embassy/consulate confirms (in writing) that it’s allowed and what authorisation they require.
What to do now

Pin down where the passport physically is, today.
Check the embassy/consulate portal, emails, and any courier tracking. Note your application reference number and passport number. -
Make a single, clear “passport return” request to the holding embassy/consulate.
Use their official contact route (webform/phone/email). Include:- your full name and reference number
- your urgent travel date
- the words “request return of my passport”
Ask: Can you release it without cancelling? If not, what is the fastest withdrawal/cancellation route, and can I collect in person?

If your passport is held because of a UK immigration/citizenship application (UKVI/Home Office), use the official “get documents back” guidance.
GOV.UK explains how to request your passport back and notes you might have to cancel your application to get documents returned. If you applied in the UK and are eligible, there is an online service to cancel an application and request documents back (it says eligible requests usually get documents back within about 10 working days). -
If you’re abroad and your UK passport won’t be available in time, consider a UK Emergency Travel Document (ETD) as the backup plan.
An ETD is typically for urgent travel when you’re outside the UK and don’t have access to your passport. It’s usually issued for a specific journey, and acceptance/route limits can apply—so treat it as a fallback, not a guaranteed substitute for every trip. -
Reduce the immediate fallout while you wait for a yes/no.
- Contact your airline/train operator now and ask what changes/refunds are possible if your passport can’t be released in time.
- If the urgent travel is for a funeral or serious illness, keep one piece of supporting evidence ready in case the holding office asks.

If this is a repeat risk (frequent travel while visas process), note “additional UK passport” as a future prevention option.
This won’t fix today, but it can help some frequent travellers who regularly need a passport while another process is ongoing.
What can wait
- You do not need to decide today whether to reapply for the visa, escalate complaints, or reorganise long-term plans—first get a firm answer on release method + timing.
- You do not need to chase multiple channels at once once you’ve identified the correct holder; one well-documented request is usually more effective.
Important reassurance
This happens to many people, and it’s normal to feel stuck because your passport is inside a formal process. Clear details (reference number, travel date, “return of passport”) tend to get you to a definite answer faster.
