What to do if…
you are told to provide work authorisation documents urgently or be taken off the schedule

Short answer

Respond immediately in writing, confirm whether this is for Form I-9 (or re-verification), and arrange to present acceptable documents through the employer’s standard secure process. Don’t send sensitive ID to an unverified contact.

Do not do these things

  • Do not ignore the request if you want to stay on the schedule — reply quickly, even if you need a short appointment window.
  • Do not send photos of your passport, Social Security card, green card, or other IDs to a personal email/text number you cannot verify as HR.
  • Do not provide extra documents “to be safe” — for Form I-9 you generally choose acceptable document(s) from the Lists, and the employer should not demand more than required.
  • Do not let a supervisor keep your original documents.
  • Do not pay anyone who claims they can “expedite” verification or “fix” your work authorization.

What to do now

  1. Verify the request is legitimate (and identify who is responsible for I-9).
    Contact HR using a trusted channel you already have (HR portal, official company directory email, onboarding paperwork). Ask: “Is this for Form I-9 completion or I-9 re-verification, and what is the approved secure way to present documents?”

  2. Ask for the “Lists of Acceptable Documents” and the exact deadline.
    Write: “Please send the Lists of Acceptable Documents and confirm the deadline/time today.”
    (This matters because, in an I-9 situation, you generally choose which acceptable document(s) to present.)

  3. Offer a same-day plan to show original documents securely.
    Propose:

    • In person: you bring original acceptable document(s) to HR/site manager for inspection; or
    • Remote alternative procedure: only if your employer confirms they are eligible to use it and provides their official instructions (otherwise, expect physical inspection).
  4. If they demand a specific document (for example “passport only” or “green card only”), reset it calmly in writing.
    Example: “For Form I-9, I will present acceptable document(s) of my choice from the Lists of Acceptable Documents. Please confirm where and when to present them today.”

  5. If HR says you must be re-verified because a document expired, pause and ask them to confirm the rule they’re applying.
    Reverification is not required for U.S. citizens or noncitizen nationals, and it is generally not required just because a Permanent Resident Card (“green card”) expires. Ask: “Can you confirm this is a required I-9 re-verification, and which status/document it applies to?”

  6. If you can’t present documents today, request a short, specific extension and propose the earliest appointment.
    Example: “I can present acceptable documents tomorrow at 9am at [location] (or via your eligible remote procedure). Please confirm I will remain scheduled while we complete verification.”

  7. Save a simple record.
    Keep screenshots/emails of the request, the threat to remove shifts, what documents they asked for, and your written replies offering a standard process.

  8. If you suspect immigration-related discrimination or “document abuse,” get help early (optional).
    If they treat you differently because of citizenship/immigration status, demand extra documents, or refuse acceptable documents, consider contacting the U.S. Department of Justice Immigrant and Employee Rights Section (IER) for guidance.

What can wait

  • You do not need to decide today whether to quit, threaten a lawsuit, or post publicly.
  • You do not need to disclose personal immigration details beyond what’s required for the employment verification process.
  • You do not need to “over-comply” with extra IDs or unrelated paperwork.

Important reassurance

Urgent I-9 requests often happen because of onboarding errors, an internal audit, or a missing record — not because you personally did something wrong. Keeping it calm, written, and process-focused usually defuses the “taken off the schedule” pressure.
