What to do if…
your notes app shows different versions on different devices and syncing will not complete

Short answer

Stop editing on all devices and immediately copy/export the most complete version from one device so you can’t lose it during troubleshooting.

Do not do these things

  • Don’t edit the same note on multiple devices while sync is failing.
  • Don’t sign out of your cloud account, uninstall the app, or reset a device until you’ve copied out any unsynced notes.
  • Don’t delete the “wrong” version yet — it might be the only copy of some content.
  • Don’t assume the cloud has the latest version until you confirm it.

What to do now

  1. Freeze changes (30 seconds). Put all but one device into Airplane Mode (or disable Wi-Fi/cellular). Choose one device as your “source” device for backups.
  2. Create a safety copy right now (before fixes). On the source device:
    • Duplicate the affected note(s), or
    • Copy/paste content into a brand-new note titled “BACKUP — 2026-03-09”.
    • If possible, export/share as a file (PDF/text) to local storage. (If you send it anywhere, keep it private and secure.)
  3. Check you’re looking at the same account and the same folder everywhere.
    • Confirm the same Apple ID / Google account / Microsoft account is signed in on each device.
    • In the notes app, check for multiple accounts/folders (e.g., “On my iPhone”, “iCloud”, “Gmail”, “Outlook”) and verify you’re comparing like-for-like.
    • Check Trash/Recently Deleted for missing notes.
  4. Check for a service outage before you chase settings. If this is iCloud/OneDrive/Google-backed, check the provider’s official status page. If there’s an incident, keep your backup copy and avoid further edits until services recover.
  5. For Apple Notes specifically: check account settings that control Notes.
    • If your notes are stored in iCloud, verify iCloud Notes syncing is enabled.
    • If your notes are stored under a third-party account (like Gmail/Yahoo), verify Notes is enabled for that account.
  6. Do a low-risk “refresh” (many apps don’t have a manual sync button).
    • Force-close the notes app and reopen it.
    • Refresh the notes list (if available), then wait a few minutes on a stable connection.
  7. After you have backups: restart the device that won’t sync. Restarting is a common, low-risk step that can restart stuck syncing.
  8. Use the web app as a neutral reference point (if available).
    • Sign in on the web (iCloud Notes / OneNote web / Google Keep web) to see which version is stored in the cloud.
    • If the web copy is best, copy it into your “BACKUP” note on the source device as well.
  9. Bring devices back online one at a time.
    • Take one additional device out of Airplane Mode, open the app, and let it sit.
    • If it shows different content, don’t edit — first copy any unique text into your “BACKUP” note, then let syncing attempt to finish.
  10. If it’s still stuck, gather what support will ask for.
  • Screenshots of errors/spinners, the account used, device models, OS/app versions, and when it started.
  • Contact the provider’s official support channel (for Apple, use Apple Support’s “Get Support” route; for others, use their official help center) and state clearly: you’ve preserved backups and need help resolving a stuck sync/conflict.

What can wait

  • You don’t have to merge everything perfectly or delete duplicates right now.
  • You don’t need to switch apps/platforms today.
  • You don’t need to reinstall the app or sign out everywhere as a first step.

Important reassurance

Sync conflicts and “split reality” notes happen even to careful people. The safest approach is to stop changes, preserve a copy you control, and then troubleshoot in a controlled way device-by-device.
